Department Summary

The City Clerk’s office offers a wide range of services to the residents of Grain Valley and surrounding communities. The City Clerk is charged with preserving a multitude of information and records regarding the City Code of Ordinances and Board of Aldermen actions. The City Clerk is also an aid to the City’s elected officials, City Administrator and City Attorney.

Department Structure

The City Clerk’s Office provides the following special services to the public, including:

  • Works as the official custodian of City records & maintains a Records Management Program for the City
  • Maintains timely and accurate codification of City Code of Ordinances
  • Fills record requests in accordance with the Missouri Sunshine Law by providing public access to records
  • Prepares Agenda packets and public notices of meetings for the City
  • Records minutes of Board of Aldermen meetings
  • Processes Occupational, FireworksLiquor Licenses, and Peddler/Solicitor Permits
  • Maintains the Peddler/Solicitor No-Call List
  • Provides voter registration assistance
  • Serves as the Election Official for the City by providing assistance to the Jackson County Election Board
  • Serves as notary public of the State of Missouri
  • Administers oaths of office for elected officials and certain employee positions
  • Accepts volunteer application forms for serving on City Boards, Committees and Commissions & assists the Mayor in administering the appointment of members to same
    Certifies the validity of City documents
  • Attests to signatures on contracts, ordinances and resolutions & applies the City Seal when appropriate
  • Prepares proclamations, ordinances and resolutions
